Equilibrium vs. Generic Software

Equilibrium vs. generic software: what a kitchen & bath dealer actually needs

If you run a cabinet dealership, you’ve probably tried to bend a general-purpose tool to fit — a project-management app, a construction-management platform, a spreadsheet, maybe a generic CRM or ERP. They all do something. None of them were built for the specific problem a kitchen & bath dealer has: turning a design into an accurate, profitable quote using constantly-changing manufacturer catalogs, then running that job through purchasing, installation, and reporting without margin leaking out along the way.

This page lays out what dealers need, why general-purpose software falls short of it, and where Equilibrium — built for K&B dealers for more than 25 years — is different.

The five things off-the-shelf software can’t do

1. Price a real kitchen from live manufacturer catalogs. A cabinet quote isn’t a line item — it’s dozens of SKUs across cabinets, hardware, countertops, flooring, plumbing fixtures, labor, and installation, each with its own pricing that changes when the manufacturer raises prices. Generic tools have no catalog behind them, so someone has to maintain pricing by hand. Equilibrium maintains the manufacturer catalogs for you — including all the lines under the two largest conglomerates in the industry, Masterbrands and Cabinet Works Group, plus hundreds more. It is the only software in the industry that handles all of a dealer’s catalog types and their ongoing updates.

2. Import the design your team already built. Your designers work in 2020 Design (now Cyncly) or ProKitchen. A general-purpose tool makes you re-key that design. Equilibrium imports it — and pulls items from SpecBooks and Excel — so the drawing becomes a priced, quotable job without transcription.

3. Lock margin by salesperson. A generic CRM will happily let a rep discount a job into the ground. Equilibrium lets owners set the margin a quote is priced at, control whether it can be approved, and lock a minimum margin per salesperson’s role — so growth doesn’t come at the cost of profit.

4. Run multiple locations as one company. Bolt-on tools handle multiple locations as either one big undifferentiated pile or a set of disconnected accounts. Equilibrium compartmentalizes each location — its own employees, catalogs, margin controls, and settings, almost like a separate company — while owners see any single location or the whole business in one view.

5. Tell you the real profit on a finished job. Most tools tell you what you quoted. Equilibrium tells you what you actually made — estimated profit vs. actual profit on the completed job — and closes the “shadow effect” between what sales sold and what accounting booked.

Categories are generalized; specific products vary. The point isn’t that general-purpose tools are bad — it’s that they were built for a different job.

When a general-purpose tool is fine — and when it isn’t

If you sell a handful of jobs a month from a single showroom and you’re comfortable maintaining pricing by hand, a spreadsheet or a generic tool can limp along. The math changes the moment you add volume, salespeople, suppliers, or locations. That’s when hand-maintained pricing becomes a liability, margin starts leaking between the sale and the books, and every new branch invents its own way of doing things. Dealers who hit that wall are exactly who Equilibrium is built for — one of the largest dealers in the country has more than doubled its number of locations while running on it.

See it on your own numbers

The honest way to compare is on your own dealership. A demo takes about 30 minutes and runs on your catalogs, your locations, and your margins — so you can see the difference instead of taking our word for it.
